Record visits and communication in MaestroLIVE's CRM

This new feature allows you to record and monitor contact related activity for building up a rich record of how you are interacting with the people in your CRM.

MaestroLIVE is being continuously developed by MobileWorks to ensure it is always relevant to its growing user base. The latest development being made available extends the functionality available in the CRM module.

You were always able to record contacts with your customer base via the notes fields that are present in both the business and contact sections, but now this has been extended further to make it very easy to record contact made. It also makes it much easier to define the type of contact, the reason for the contact, record notes, etc. You do it through a new template called “Visits/Communications”, which can be found as a sub menu under the main CRM menu item.

And of course, because it is a template, you can actually tailor it to fully meet the needs of your particular business, through the use of the dynamic properties feature of MaestroLIVE, meaning you can add new fields, check boxes, drop down lists, as required to your specific requirement.

The template is very easy to use. To open it, just click on the “CRM” menu, select the “Visit/ Communication” option, and the template will open.

Select from the drop down list the type of contact (Face to Face, Telephone, Email, Champion, Ticket), enter the reason for the contact in the “Reason” field (free form text), select the person who made the contact from the “Originator” drop down list (list of all users who have authority to make contact), use the “Date” picker to define the time and date of the contact, select from the “Business” drop down list which business was contacted, selected from the “Contacts” down down list the person contacted (this list will only display those users associated with the business) and finally use the “Notes” field to add any additional notes you may wish to make on the meeting.

Press the “Create” button, and you are done.

Note - in some cases it might be you wish to record a visit where several business were in attendance. Typically this would mean you would need to record the visit in each individual business, but not in MaestroLIVE. In the step listed above where you select a business from the list, you can in fact select multiple business from the list at the same time, and the details of the visit will populate all those selected in one go.

To view contacts already made, go to “CRM”, then to “Business” and select “view” - the history file for that business will open, and one of the tags is “Visits/Communication”. Click on this tab to see an entire history of all contacts made to this company.
